This policy explains how Royal Arena Sports, LLC (832 S Willett St, Memphis, TN 38104) collects and uses information when you use royalarenasports.com or visit our facility. The short version: we collect what we need to run your bookings, keep everyone safe and get paid. We don’t sell your information and we don’t use it for advertising.
1. What we collect
- Account details: your name, email, phone or WhatsApp number, and password (stored scrambled, so we can never see it). We also record when you agreed to our Terms and Rules.
- Bookings and activity: fields and times you book, pickup games, deals and bids, camp and league registrations (including the participant’s name, age and any notes you give us), promo codes used, and your Royal Rewards points.
- Waivers: the signer’s name, drawn signature, date and time, IP address and device/browser details. If you sign for children, we also collect their names, dates of birth and your relationship to them.
- Payments: payments are handled by Stripe. We receive the payment status, amount and, for a saved card, only the brand, last 4 digits and expiry date. We never receive or store full card numbers or security codes.
- Messages: what you send us through our forms (party and event inquiries, program interest), by email or on WhatsApp.
- Technical information: your IP address and browser type in our server logs, and failed login attempts (to protect accounts).
- Anonymous visit statistics: which of our pages are viewed, for how long, which steps of booking are reached, the website or campaign that sent the visit, and whether it’s a phone or computer. This is not linked to your name or account, uses no cookies, doesn’t store your IP address (it uses a code that changes every day), stays on our own server, and is never shared. If your browser sends “Do Not Track”, we don’t count your visit. We keep these statistics for up to 13 months.
2. Why we use it
- To create and run your account, bookings, pickup games, deals and registrations
- To take payments, give refunds, and charge a saved card when you win a deal (only as described in our Terms)
- To keep signed waivers and safety records and respond to legal claims
- To send messages about your account and bookings: confirmations, receipts, reminders, password resets, “game on” and “you’ve been outbid” alerts
- To run Royal Rewards and promo codes
- To prevent fraud and abuse, keep the website secure and fix problems
- To understand, in anonymous totals, how people use the website so we can improve it and our marketing
- To meet legal, tax and accounting duties
We don’t send marketing emails unless you ask for them. If we ever offer a newsletter, it will be opt-in with an unsubscribe link in every email.
3. Who we share it with
We share information only with the service providers who help run the website and our business, and only for that purpose:
- Stripe: payment processing and saved cards (Stripe privacy policy)
- GoDaddy: website hosting, database and email delivery
- Google Fonts and Unsplash: some fonts and photos on our pages load from their servers, so your browser shares your IP address with them
- WhatsApp / Meta and Instagram: only if you choose to contact us or follow us there
Our front desk staff can see bookings, waivers and contact details so they can check you in. We may also share information if the law requires it, to protect people’s safety, to respond to legal claims (for example, a signed waiver), or as part of a sale of the business. We don’t sell or rent personal information, and we don’t share it for targeted advertising.
4. Cookies
We use two essential cookies to keep you logged in: “RASID” for your current visit, and “RAKEY”, which keeps this device logged in for up to 60 days (it’s removed when you log out or change your password). Your browser may also store small preferences for the site, and a random visit number that’s deleted when you close the tab (for our anonymous visit statistics). We don’t use advertising or tracking cookies, and we don’t use analytics that follow you across other websites.
5. Children
Accounts are for adults (18+). Children’s information (name, date of birth, age and any notes, such as allergies) is only provided by a parent or guardian, for waivers and program registrations, and is used only to run the activity safely. We don’t knowingly collect information directly from children under 13. If you think a child has given us information, contact us and we’ll delete it.
6. How long we keep it
- Accounts: until you delete your account.
- Bookings and payments: as long as needed for accounting and tax purposes (typically 7 years).
- Signed waivers: as long as we may need them to respond to a legal claim. This can be several years, and longer for waivers that cover minors. That’s why deleting your account doesn’t delete signed waivers.
- Server logs and login attempts: a short time, for security.
7. Your choices and rights
- See and update: view and edit your details in My Account → Profile, and download your signed waiver from My Account.
- Saved card: remove it any time in My Account → Profile (except while you’re winning an open deal).
- Delete your account: My Account → Profile → Delete my account. We remove your name, email, phone and saved card, and your login stops working. We keep what the law or our legitimate needs require (signed waivers and payment records), in a form that isn’t used for anything else.
- Other requests: for a copy of your information, a correction, or any privacy question, email royalarenasports901@outlook.com. We’ll reply within 30 days and may need to confirm it’s really you.
Depending on where you live, you may have more rights under state law. We’ll honor them where they apply.
8. Security
We use encrypted connections (HTTPS), scrambled passwords, limits on login attempts and staff-only access to records. Card payments are handled by Stripe, which is PCI-DSS certified. No system is perfectly secure, so please use a strong password that you don’t use elsewhere. If a breach ever affects your information, we’ll notify you as the law requires.
9. Changes
If we change this policy, we’ll update the date at the top. We’ll tell members about important changes.
