These Terms of Service (“Terms”) are an agreement between you and Royal Arena Sports, LLC (“Royal Arena Sports,” “we,” “us”), 832 S Willett St, Memphis, TN 38104. They apply when you use royalarenasports.com, create an account, or book or pay for anything through it. By creating an account or making a booking, you agree to these Terms, our Privacy Policy, our Rules & Regulations and our Liability Waiver. If you don’t agree, please don’t use the website.
1. Your account
- You must be 18 or older to create an account, book, or sign a waiver. Parents or legal guardians book and sign for children under 18.
- Give us accurate information (your real name, a working email and a phone or WhatsApp number) and keep it up to date.
- Keep your password private. You’re responsible for bookings made from your account. Tell us right away if you think someone else is using it.
- We may suspend or close accounts that break these Terms or our Rules, abuse deals or promo codes, or don’t pay for bookings.
- You can delete your account at any time from My Account → Profile (see our Privacy Policy for what we must keep).
2. Bookings & prices
- Prices are shown per hour and depend on the field, day and time (off-peak hours cost less). Some bookings get an automatic multi-hour discount, which is shown before you pay.
- Tennessee/Memphis sales tax (currently 9.75%) is added to bookings, pickup spots and registrations. It is always shown as its own line before you pay, and the total you see is the total you pay.
- Online bookings need at least 2 hours’ notice. For anything sooner, call or WhatsApp us at (901) 314-8913.
- A booking is for the field(s) and time shown. Please arrive on time. Your time ends when your booking ends, even if you start late, so the next group can start on time.
- When you choose to pay online, your time is held for about 35 minutes while you complete payment. If payment isn’t completed, the time is released.
- We may cancel a booking if the facility has to close (for example because of an emergency, severe weather, a power outage or a problem with the field). If we cancel, you get a full refund or, if you prefer, a new time.
- We may correct obvious pricing mistakes. If a mistake affects your booking, we’ll contact you and you can cancel for a full refund.
3. Payments
- Online payments are processed by Stripe. We never see or store your full card number. Stripe’s terms and privacy policy also apply to your payment.
- At the front desk we accept cards only (no cash).
- If you choose “pay at the front desk,” you must pay the full amount (tax included) before your time starts.
- Pickup games: you save a card with Stripe when you join. By joining with a saved card, you authorize Royal Arena Sports to charge it for your spot (plus sales tax) when the game is confirmed, or right away if it’s already confirmed. If the game doesn’t fill, nothing is charged.
- Saved card for deals: see Deals (auctions) below.
4. Cancellations & refunds
- Field bookings paid online: cancel in My Account up to 24 hours before your start time for a full refund to your card. After that, online bookings can’t be refunded. Call or WhatsApp us and we’ll try to help (for example by moving your time if another slot is open).
- Field bookings paid at the front desk: nothing has been charged yet, so you can cancel online any time before your start time. Please do cancel, so someone else can use the time. If you often don’t show up for unpaid bookings, we may require online payment from you.
- No-shows: if you don’t show up, a paid booking isn’t refunded, and no-shows don’t earn Royal Rewards points.
- Pickup games: you can leave a game before it starts. If the game is already confirmed and starts within 24 hours, you can’t leave online and your spot isn’t refunded. If the game isn’t confirmed, the hold on your card is released.
- Camps & leagues: you can cancel online up to 2 days before the program starts for a full refund. After that, contact us.
- Refunds go back to the card you paid with. Stripe usually processes them right away, and they typically take 5–10 business days to show on your statement.
- If we close or cancel, you always get a full refund.
5. Pickup games
Pickup games are sign-up-by-the-spot games we organize. Each game has a minimum number of players. When it’s reached, the game is confirmed and every player’s saved card is charged. If a card can’t be charged, that player must pay online or at the front desk before the game. If the minimum isn’t reached by the cutoff time, the game is cancelled and no one is charged. Sign-ups open a few days before each game.
6. Deals (auctions) & saved cards
- Some quiet hours are offered as deals you can bid on. The highest bid when bidding closes wins the booking. A bid in the last 2 minutes adds 2 more minutes. While bids are below the normal price, you can also book now at the normal price, which ends the deal right away.
- To bid, you save a card with Stripe. By saving a card and placing a bid, you authorize Royal Arena Sports to charge that card, without asking you again, for the winning bid plus sales tax if you win (or the normal price plus tax when you book now). We email you a receipt. If you don’t win, or the deal is cancelled, you’re not charged.
- If your card can’t be charged, you’ll get an email and a short time to pay online. If you don’t pay in time, the booking is released and bidding is paused on your account until you contact us.
- A bid is a commitment to pay. Don’t bid on times you won’t use. We may cancel bids or deals that look abusive.
- You can remove your saved card in My Account at any time, except while you’re the top bidder on an open deal.
- Won deals follow the normal cancellation rules for field bookings paid online.
7. Camps & leagues
Program details (dates, times, ages and what’s included) are shown on each program. We may change a schedule for reasons outside our control and will tell you as soon as possible. If we cancel a program, you get a full refund.
8. Promo codes & Royal Rewards
- Promo codes have no cash value. Each code may have limits (number of uses, uses per person, dates, minimum spend, or what it can be used on), and only one code can be used per booking. We may end a code at any time, but we will honor bookings already made with it.
- Royal Rewards points are earned after you play and can be redeemed for discounts as shown on the website. Points have no cash value, can’t be transferred or sold, and are lost if your account is closed. We may change the rewards program, and we will tell members about big changes before they take effect.
- If a booking is refunded, points earned or used on it may be reversed.
9. Waiver, rules & safety
- Everyone who plays must be covered by a signed Liability Waiver. It can be signed online or at the front desk. Parents or guardians sign for minors. Nobody may play without one.
- Everyone must follow our Rules & Regulations and staff instructions. We may remove anyone who is unsafe, violent, abusive, or under the influence, without a refund.
- You’re responsible for damage you or your group cause to the facility, other than normal wear and tear.
- We’re not responsible for lost or stolen personal items.
10. Using the website
- Don’t misuse the website. For example, don’t try to get into other accounts, disrupt the site, use bots to book or bid, or make bookings you don’t intend to use.
- The website’s content, logo and photos belong to Royal Arena Sports or its licensors. Please don’t copy them for commercial use.
- We work to keep the website available and accurate, but it’s provided “as is.” We don’t promise it will always be available or error-free.
11. Liability
Your participation in activities is governed by the Liability Waiver. For anything else related to the website or a booking, and to the fullest extent the law allows, our total liability to you is limited to the amount you paid us for the booking involved. We are not liable for indirect or consequential losses. Nothing in these Terms limits rights you have under law that can’t be waived.
12. Law & disputes
These Terms are governed by the laws of the State of Tennessee. Any dispute will be handled in the state or federal courts located in Shelby County, Tennessee. Before going to court, please contact us so we can try to fix the problem. Most issues can be solved with a quick call.
13. Changes to these Terms
We may update these Terms. The date at the top shows the latest version. If we make important changes, we’ll tell members (for example by email or when you next log in). Bookings already made keep the terms that applied when they were made.
